From our speakers, microphones, stage lights, outdoor lights through to our walkie talkies, radio repeaters and furniture. We have tried to put together the questions that can save you time when you are looking to hire from us.

We’re based in Pembrokeshire, West Wales and hire audio visual equipment plus our 2 way radio services in neighbouring Carmarthenshire and Ceredigion. We often get requests for hires in Swansea, Llanelli and also up in Mid Wales, around Powys to the likes of Llandrindod Wells, Aberystwyth, Brecon and much more. The official calculations are quite complex and this will ultimately vary based on the venue and lots of other variations. But as a general rule of thumb we would advise that you plan your PA System around the following guidelines;-

 

Indoor Events

If your event is taking place inside, then we suggest around 800-900 watts per 75 people. This can be used for the likes of discos, parties and celebrations.

 

Conferences: – If you are hosting a general meeting, conference or perhaps a safety talk for a new project for example. The rule outlined above can be slightly less. But if you wanted to be safe you can stick to the guide above.

 

Outdoor PA Systems;-

…Can vary based on the requirements. If you are looking to get commentary and ring announcements out to competitors and entrants. Then we supply a range of outdoor and arena systems. These speakers can be setup near horse rings, dog agility rings, entertainment arenas and grandstands to get your event commentary heard across your field or showground.

To get an accurate idea of what you’d need, it is always best you get in touch and any ground plans you have would also be great.

Insurance is extremely important for all hired equipment.
Whilst we appreciate this isn’t always practical for some private customers, for example to hire equipment for a birthday party or something similar. The hirer is responsible for the equipment whilst on hire and full terms and conditions can be found in our hire agreement at the time of booking.

 

This is common practice when hiring from all audio visual companies across Wales and UK wide

This will vary based on the equipment you hire. In most cases we can run from a couple of 13 amp plug sockets but if your event is held outdoors or needs to be cabled over a long distance for example. We may need 16 amp supplies and a generator. It’s best to let us know what you have available at your location or venue and we can then work things out from there.

We often bring extra power with us to ensure we can run cables where needed.

Yes we will supply all power cabling with your hire including extension leads should they be needed but any power cables generally need to be utilised just for the sound or lights and shouldn’t be relied upon to power extra equipment you bring in such as kitchen equipment or other band equipment. This could overload sockets and cause damage. So please bear this in mind.

In the first instance we would ask you to ring the number provided with your hire papers. This will give you the details of the person responsible for your hire.

Typically this will be the technician who has delivered and setup your hire. In most cases it can be something small such as tripped equipment due to sockets being overloaded and this would be down to your venue or location provider. If we can’t resolve it quickly on the phone. We will come out to you and resolve any problems.

This is not a problem. Just try to give us as much notice as possible so we can ensure the kit is not booked out elsewhere. We can then advise you if your hire price will be based on another day hire rate or we can move you onto weekly hire price.

If you aren’t exactly sure what you need but have ideas on what you want to achieve, we love helping people get what they want.

From draping fairy lights to lighting up trees or creating a Victorian market. Whatever you have in mind we are always more than happy to help you.

Need something quick and simple?

If you are just looking for a quick and simple solution for example if you are planning to do a presentation or you need some lights for a function. We have designed some pre made packages over on our Packages page. If you have some extra items you’d wish to bolt on, just select them on the hire page and add to your quotation.

We always setup equipment for you, whether this is sound or lighting. We do this for a number of reasons but the main reason include;

  1. To comply with insurance and health and safety, we need to ensure everything is safe for guests and you as the user. This includes hiding or taping cables, ensuring safety chains are used and various other safety measures.
  2. We want you to get the best from the equipment when it’s hired. This includes how it sounds and how it looks. We will always make sure you’re happy but ultimately, the kit will be setup as it needs to be to operate correctly.

We also will pack down the equipment again to make sure that things are done safely and no damages can take place. This also helps to keep the equipment protected. If for whatever reason the equipment has to be taken down early or moved for logistical issues, we will work with you to organise something that suits yourself and the venue or given location.

This would depend on the hire and what is required. If you have concerns or would like to have ultimate peace of mind, we can ensure a technician stays with the hire at all times. They are then on hand to adjust or move equipment plus should anything happen or accidents take place, they can react quicker to get things resolved for you. This can be done either hourly or based on a day rate, this can be calculated with you when you hire.

Typically for a birthday party or a wedding booking for example, some of the common hires. We would turn up, setup the lights or speakers for you, show you how to operate the equipment if this is applicable, then we would leave the equipment with you and return for the collection at the given day or time.

 

For corporate hires or outdoor events such as agricultural shows or motorsport events, hillclimbs or rallies. We would always quote for an engineer to be on site for the duration of the hire and this would be show on the quotation with a price given.

If you are hiring a sound system for a party or something similar. We would supply you with the relevant cables you need to plug in a laptop/tablet/phone. All you need to do is let us know what device you plan to use and the connection you require and we will do the rest.

 

Speaker systems on their own are an increasingly common option for parties, weddings and other celebrations due to the popularity in streaming services like Spotify and Google Music. Friends and family can use the system like a Jukebox and play the songs they like, allowing everyone to get involved.

If you are hosting a presentation, then generally we don’t need a large setup space. We would need around 2m infront of the screen as clear space. This makes it much easier for guests to see the screen without straining and then our projector can either be mounted behind the screen if space out front is tight.

 

Typically with the projector infront of the screen, we’d need around 1-2m depending on the size of the image required. We can advise further when we know what you require on the hire.

Yes. We are fully insured and hold 10 million pound public liability which covers us for near enough every venue and facility from Government buildings to national park resorts and construction environments such as refineries.

We also carry out regular PAT Testing on all our equipment. This ensures it is electrically safe to use. Ensuring maximum safety to you and your visitors/guests.

We only dry hire certain pieces of equipment and this is based upon the equipment itself and also the location of where the equipment will be used.

For example. We often hire out smoke machines, hazers, lecterns, cable ramps and small pieces of equipment on their own but speakers, amplifiers, microphones are not commonly hired out without setup by a technician.

 

If there are just specific pieces of equipment you are looking to hire we would be able to accommodate you collecting and returning the equipment in most instances.

As much notice as possible would of course be great but we have often worked with private and commercial customers to pull stuff out of the bag at the very last minute.

 

One particular hire with our sister company, in 2019 gave us just 7 hours notice on a Saturday evening. Luckily we were able to get engineers in place, quickly load up and head out for a Speaker system to cover a political party speech. Whilst this may not always be possible, we always try our very best for you.
